Job Summary

The Sr. Specialist, Creative Operations serves as a key organizational resource to the Brand & Creative team. This role is responsible for overseeing the flow of creative work — managing project intake, timelines, and resources to keep 40–60 monthly projects and creative deliverables moving smoothly and on brand. 

 

What You’ll Be Doing

As a key member of our Brand & Marketing organization, you’ll help drive the smooth and efficient delivery of creative and marketing projects from start to finish. You’ll serve as the connective tissue between internal teams, external partners, and key stakeholders—ensuring workflows run seamlessly, timelines stay on track, and final deliverables meet our quality standards.

Project & Workflow Management

  • Oversee the end‑to‑end delivery of creative and marketing projects at scale.
  • Act as the primary liaison between the Brand team and cross‑functional stakeholders to streamline processes, improve communication, and enhance workflows.
  • Manage project timelines and task assignments using Monday.com (traffic control, scheduling, monitoring progress).
  • Organize project documentation and ensure all milestones and deliverables are clearly communicated.

Asset Delivery & Quality Assurance

  • Ensure final creative assets are delivered accurately, on time, and properly stored for future use.
  • Oversee file management, template organization, and ongoing optimization of asset libraries.
  • Conduct quality assurance on emails, signage, and other marketing materials prior to distribution or installation.

Vendor & Production Management

  • Manage vendor relationships—particularly with printers and installers—to ensure timely and high‑quality production.
  • Coordinate bulk print orders and community signage logistics.
  • Oversee storefront updates, signage QA, and installation coordination with market offices and the Community team.

Stakeholder Communication & Reporting

  • Provide regular project updates to community and internal stakeholders.
  • Support creation and updates to PowerPoints, landing pages, and other internal/external-facing materials.
  • Generate and track QR codes as part of campaign and signage programs.
  • Maintain reporting dashboards and track project performance.

Skills & Knowledge

  • Print Production Fundamentals
    Working understanding of print processes for collateral, signage, swag, and large‑format materials.

  • Strong Communication Skills
    Clear, concise, and effective communicator across teams, levels, and vendor partners.

  • Project & Timeline Management
    Proven ability to manage multiple projects simultaneously, maintain timelines, and ensure on‑time delivery.

  • Workflow & Tool Proficiency
    Experience using Monday.com or similar project management tools to track tasks, workflows, and team capacity.

  • Quality Assurance & Proofreading
    Strong attention to detail with the ability to spot inconsistencies, errors, and brand deviations before materials go live.

  • Logistics Coordination
    Experience overseeing ordering, shipping, delivery, and installation of marketing assets.

  • PowerPoint Expertise
    Ability to build and refine presentations with clarity, structure, and visual polish.

  • Adobe Creative Suite Familiarity
    Working knowledge of InDesign, Illustrator, and Photoshop to support light edits, file prep, and asset review.

  • Copywriting Ability
    Ability to write clear, on‑brand copy for signage, collateral, and other marketing assets

Who We're Looking For

  • Bachelor's degree in marketing, related field or equivalent experience

  • 2-3 years of relevant work experience in marketing or related field

  • Track record of delivering results in a fast-faced, entrepreneurial environment

  • Skilled in program management and supporting operational improvements

Salary Range

The salary range for this position is: $53,175.00 - $92,170.00, plus individuals may be eligible for an annual discretionary bonus. Actual compensation within the range will be dependent upon the individual's skills, experience, qualifications, location, and applicable employment laws.
