We are looking for dynamic individuals who are passionate about taking our company to the next level.  We’re looking for a coordinator who will help the CIDO evolve the technology organization match the culture, creativity, and growth of the overall company.  This role will assist the CIO with organizing resources to deliver team wide activities (including 3rd parties), some project management as it relates to improving our overall team profile, and activities related to team happiness.  The coordinator will be an extension of the CIDO in communication, collaboration, and elements such as employee resource groups.  The coordinator will need to obtain and analyze feedback to be a trusted advisor to the CIDO on a consistent and regular basis.

Essential Job Duties and Responsibilities

The job has two main components: Administration of the CIDO’s activities and management of the technology team’s culture enrichment activities.

  • Management of the CIDO’s O365 calendar, meeting preparation, expense reports, work related errands, travel with CIDO as required, and other administration duties as assigned
  • Attend meetings as assigned by the CIDO, take actions from meetings, and oversee those actions as warranted by the CIDO’s assignment
  • Build relationships with the sr. executive administration team
  • Communicating with vendors or employees about project, event or campaign expectations and goals
  • Overseeing the vendor selected to ensure the right food, activity and or experience is being delivered
  • Collaborating with vendors or employees, the OCIO and other team members on budgeting and allocating funds
  • Collaborating with key stakeholders outside of technology including marketing, Operations, and Finance as it relates to team building and engagement satisfaction
  • Managing deadlines and progress across the team to ensure the activity is delivered with a high level of accuracy
  • Overseeing the delivery of CIDO administration projects and making adjustments as necessary to ensure they are delivered to specifications and high standards
  • Collecting and analyzing feedback from team members and other project users to gauge satisfaction and success
  • Creating and enabling culture rich experiences for the team
  • Creating ideas which propel team happiness and survey scores in positive directions
  • Creation of remote engagement ideas as a result of a remote workforce

Education and/or Experience

  • Bachelor’s Degree or equivalent experience
  • Minimum 4 years’ experience in a corporate working environment

Skills/Specialized Knowledge

  • Ability to handle confidential information with the appropriate level of deference
  • Verbal and written communication for understanding project requirements and explaining these needs to employees and third-party providers
  • Attention to detail to ensure all specifications are met
  • Problem-solving abilities to correct any challenges or inefficiencies for the best results
  • Decisiveness and good judgment to address pressing project matters when time is limited
  • Organization and time management to manage multiple tasks, sometimes for multiple projects, at once

Other Requirements

  • Must maintain professional appearance 
  • Travel as required on occasion
  • Ability to be at work on a regular and consistent basis; overtime may be required for this position
  • Ability to work before and after normal office hours to handle warranted activities

Physical and Mental Demands

This position will spend long hours sitting and using office equipment and computers. The position may also entail light lifting of supplies and materials occasionally, up to and including 20 pounds in addition to reaching, stooping, standing, and walking. This position requires the ability to talk, hear, compare, compute, compile, copy, analyze, coordinate, synthesize, negotiate and communicate. Work Environment

Standard office working environment that may be busy and noisy at times.
